WHAT WE COLLECT AND WHY
Contact form
When you submit the contact form we collect your first name, last name, email address, subject, message, and the enquiry category you select.
We use this information solely to respond to your enquiry and, where relevant, to continue a business conversation you have started. We do not use it for marketing unless you separately ask us to.
Contact form: legal basis & retention
The legal basis is our legitimate interest in responding to enquiries about our services, and where your enquiry concerns a possible engagement, the steps taken at your request before entering into a contract.
Submissions are retained for 24 months from the date of submission, after which they are deleted. Where an enquiry leads to a contractual relationship, the related correspondence is retained under that contract instead.
Email delivery and logging
Contact form submissions are sent to us by email through Microsoft 365. A copy of each outgoing message is retained in our website’s email log for 14 days for troubleshooting purposes, then deleted automatically. Received enquiries remain in our business mailbox.
Server logs
Our hosting provider records standard technical information for each request, including IP address, browser type, and the page requested. These logs are used for security and to diagnose faults.
Analytics
We use Google Analytics 4, loaded through Google Tag Manager, to understand how the website is used in aggregate: which pages are visited, how visitors arrive, and how long they stay.
This sets cookies named _ga and _ga_0WXT41LKGB, which distinguish one visitor from another and expire after two years. Google Analytics also processes your IP address, which is truncated before storage.
The legal basis is your consent. You can withdraw consent at any time through the cookie settings on this website, or by deleting these cookies in your browser.
Spam protection
The contact form is protected by Google reCAPTCHA, which analyses your IP address and interaction with the page to distinguish human visitors from automated submissions. Use of reCAPTCHA is subject to Google’s privacy policy and terms of service.
Form and comment submissions are also checked by Akismet, an anti-spam service operated by Automattic Inc., which processes the submitted content and the sender’s IP address to assess whether a submission is spam.
The legal basis for both is our legitimate interest in protecting the website against automated abuse.
where your data is processed
The website and its database are hosted on Amazon Web Services in Ireland, within the European Union.
Some of the services described above are operated by providers based in the United States: Google (Analytics, Tag Manager, reCAPTCHA), Microsoft (email delivery), and Automattic (Akismet). Where personal data is transferred outside the European Economic Area, those transfers are made under the European Commission’s Standard Contractual Clauses or an equivalent transfer mechanism.

We do not sell personal data and we do not share it with third parties for their own marketing purposes.
Personal data is accessible to the service providers described above, acting on our instructions, and to our own staff who need it to respond to your enquiry.

Under the General Data Protection Regulation you have the right to request access to the personal data we hold about you, to have inaccurate data corrected, to have your data erased, to restrict or object to processing, and to receive your data in a portable format.
To exercise any of these rights, email info@pontegra.com. We will respond within one month.
If you are not satisfied with our response, you have the right to lodge a complaint with the Dutch data protection authority, the Autoriteit Persoonsgegevens, or with the supervisory authority in your country of residence.
AUTOMATED DECISION-MAKING
We do not use personal data collected through this website for automated decision-making or profiling.
